What is a Wedding Planner Contract?

A wedding planner contract is basically a legally binding agreement between a wedding planner and their client. A wedding planner contract simply establishes the terms according to which the wedding planning services will be provided by the wedding planner. Weddings are seasonal and you must book a wedding planner months before the wedding, in order to make sure that the wedding planner is not already booked on the date of the wedding.

Wedding planners oversee coordinating activities in the wedding. In simple words, wedding planners bring life to a wedding, and it is important for the client to put their trust in the wedding planner after signing the contract.

Signing the wedding planner contract ensures that in case anything goes wrong from the planner’s side the client can take legal action against them. And if client asks something from the planner that is not included in the contract the wedding planner has the full right to not do it.

As client, a decision of hiring wedding planner is an important one. When booking a wedding planner for your wedding it is important to make sure that you are not getting involved in a scam and that both parties agree on all terms and conditions before signing the contract. It is also important to see that the wedding planner you are hiring is providing all the services that you require for your wedding events.

A wedding planner contract is important because it will make sure that things go smoothly from both sides. When a client trusts a wedding planner with their wedding contract, they expect the planner to deliver the best results and in exchange the wedding planner will be paid the amount that they decided.

As a client looking for a wedding planner, the first thing you need to do before hiring them is list down your terms and conditions and ask them to tell you about their packages, there might be some points where you may not agree with each other so you should come toa mutual understanding about everything and then seal the deal by signing the contract.

Wedding planners are the ones responsible for making the contract while the client can add their own terms and conditions in it according to their liking.

As a wedding planner you should write down and explain to the client in detail, exactly what services you will be providing. The clients have a lot of questions regarding this stuff as it is a major and important event, so as you are the wedding planner you should get to know your client’s worries and their goals for the wedding and then make your contract around it.

Things to include in a wedding planner contract:

Following things are included in a wedding planner contract:

  • Name and Contact information:

Putting the name and contact information of the wedding planner and client is a good way to start a wedding planner contract. The names and contact information of the whole team of wedding planner should also be included. This information should be put at the top so that is easier to fill further paperwork with that information.

  • Date, Time, and Location:

Date, Time, and location for the ceremony is one of the most important parts of a wedding planner contract. It will inform the wedding planner about the location of the ceremony and at what time and date they should get there. It should be made clear by the client where the all the events will take place in order to avoid conflicts and the planner is certain about it.

  • A list of all the Services:

To make things easier for both parties, the client should tell the wedding planner what kind of services they require for each event of the wedding so that the wedding planner is aware of what work they will be doing, and they can come up with a package that includes everything required by the client.

  • A list of things wedding planner will provide:

Wedding planner should write down all the things and services that they will be providing so that if there is something else that the client needs, they can either negotiate with the wedding planner about it or they can get those things from outside resources.

  • Establish Limits:

One thing that is important to note here is that in some cases, clients expect too much from the wedding planner, even the things that are not included in the contract at first. So before signing the wedding planner contract, the wedding planner should write down all the services that they will provide and also include the limitation of their work so that the client knows that the wedding planner will only provide the services that are written in the contract and no further.

  • COVID-19 Liability Waiver:

A wedding taking place during pandemic have different rules and regulations compared to the wedding taking place pre-pandemic. A clause related to COVID-19 is definitely included in the wedding planner contracts now to ensure safety of everyone. The COVID-19 liability waiver will protect the wedding planner and the client as they will have more physical interaction with each other.

As a wedding planner, you should include this in your contract as it will work as an added level of protection during a pandemic, and it will also tell that your client is aware of the risk involved in your participation in their wedding events.

  • Confidentiality:

Included a clause about confidentiality will ensure that the wedding planner will respect the privacy of the client and will keep the information about the wedding private, including the location, and the number of guests.

If the wedding planner does not keep the information private and in some way leak it, then as their client you have the right to sue them and take legal action against them because what they did counts as a breach of a legally binding contract.

  • Payments:

Payment is one of the most important parts of a wedding planner contract. It is a part where the client and wedding planner might not agree a lot so they should work together to come up with payment policies that both are happy with. The wedding planner should come up with a package according tot the services that are required by the client.

Both parties should decide what amount of the money will be exchanged in advance and how much will be paid after the events are completed. The client and wedding planner should be satisfied and comfortable with the payment policies before signing the contract.

  • Cancellation:

It is unfortunate to think for both sides if they have to cancel the wedding event for some reason. But since the wedding planner contract is signed months before the wedding it is important to include a clause related to the terms and conditions of cancelling the contract. Both parties should agree on the cancellation terms and the sign the contract to avoid any kind of troubles in the future.
